Opportunity Green (hereafter ‘we’ or ‘us’) have created this Privacy Policy to set out how any personal data we may collect from you will be processed and used. This policy equally applies to Opportunity Green in its capacity as Secretariat to the Skies and Seas Hydrogen-fuels Accelerator (SASHA) Coalition, with specific information on related activities provided in this document.

What data we collect
Communications
We may receive personal information during exchanges of emails or other methods of online communications (for example, social media). We also collect and use your information when you submit it to us via the contact form on our Opportunity Green website or when you use the information provided on our website to email one of our staff members.

Communications related to the SASHA Coalition Website (www.sashacoalition.org)
Opportunity Green coordinates the SASHA coalition to support the use of green hydrogen and direct air capture in the shipping and aviation industries. In its capacity as Secretariat to the SASHA Coalition, Opportunity Green maintains a separate website at www.sashacoalition.org (SASHA Coalition website) and the information collected on this website is therefore considered separately in this policy. Opportunity Green collects some personal information via the SASHA Coalition website and, in accordance with the applicable data protection legislation, is the data controller.
Contact forms and email communications: We will collect and use your information when you submit it to us via the contact form on the SASHA Coalition website or when you use the information provided on our website to email one of our staff members.

We accept donations to fund our vital work via our website using the Donorbox platform. Donorbox privacy policy can be viewed here. For audit purposes, we collect the following information:

Network Mapping
In order to better target our work activities, we may maintain contact lists using collect data from publicly available and respected, third-party sources to assess your interest in working with Opportunity Green, including potential interest in the SASHA Coalition. The kinds of information that we may collect could be name, employment details and publicly available contact details. This information will come from publicly available sources such as social networks, subscription services, news archives, public databases and other respected, third-party sources.
Recruitment/HR
We will process any data you send us for recruitment purposes in relation to any vacancies that we advertise on our website (www.opportunitygreen.org/) or via another platform, for example Twitter or LinkedIn. We process this with your consent and/or our legitimate interest in researching our candidates and offering them positions.
This may include, depending on the information provided by individual candidates:

Employment history
Sensitive personal data, including racial, ethnic, sexual, religious and/or disability information
Any other details in your CV or cover letter
We process this data on the basis of your consent. We may also process additional data later in the recruitment process, which will be processed on the basis of your consent and/or employment contract, or where we have a legal obligation, or it is in the public interest to do so (such as for immigration or diversity monitoring purposes).
Employee information is gathered via forms at the start of your employment. You are responsible for letting us know if any of the details you have shared with us (such as address or emergency contact person) have changed. All employee data is stored in a restricted access folder in SharePoint, which is only accessible to the People and Culture Manager, COO and CEO.
Events
Should you be attending an event, in person or online, which is hosted by Opportunity Green (including in its capacity as Secretariat to the SASHA Coalition) or where Opportunity Green is acting as co-host of an event (including in its capacity as Secretariat to the SASHA Coalition) and has the responsibility of processing event participant data, data collected upon registration may be processed on one or more of the following platforms in order for us to administer the event effectively and send you communications relating to the event/s for which you have registered.

The Legal Basis
In accordance with the UK General Data Protection Regulation (UK GDPR), the most frequent legal base we rely on for collecting and processing the data mentioned above is:

For example, we may process your personal data based on our legitimate interest to raise awareness on environment matters or to execute a contract. Personal data is never used for commercial purposes.
How long we keep it
Communications
We will keep your personal data for as long as we need to and is reasonable in respect of the purpose for which the data was collected and/or processed. After this point we will either delete or anonymise the data.
If you sign up to any communications updates we may send (for example, email updates, blog alerts or newsletters), we will keep your data for the duration of any contact or other relationship that you have with us, and for a maximum of two years afterwards. For the purposes of communication updates, examples of contact with us include when you open an email from us or engage with any of our campaigns on the Opportunity Green or SASHA Coalition website.
Donations
We keep financial donations data for a minimum of six years after the end of the financial year to which they relate1. Personal data is kept only as long as necessary to fulfil the purpose for which it was provided.
Network mapping
We will keep your personal data for as long as we need to and is reasonable in respect of the purpose for which the data was collected and/or processed. After this point we will either delete or anonymise the data.
Employee Records
Personal details: Names, addresses, birth dates, and contact information
Employment contracts: Terms and conditions of employment, including any updates
Payroll records: Details about wages, overtime, bonuses, and deductions
Working time records: Hours worked, annual leave and sickness absence records
We will keep these for 7 years after employment ends to comply with HMRC requirements and any potential audit needs.
Recruitment/HR
We will keep data you send us in relation to vacancies for the duration of your application and up to one year following your application for the purpose of offering you further opportunities, unless you opt out of this. After this point we will delete or anonymise your data.
If your application is successful, we will keep that information for longer together with your records of employment. For compliance purposes and to provide future employment reference, we will keep your employment records for six years after the end of your employment with us.
Events
We will retain data collected upon registration for an event for a maximum period of one year but this will only be used in relation to event administration for the event/s you registered for. We will not contact you for future marketing purposes, unless you have consented or requested to receiving updates.
Storing your information
Your data will be stored on our systems. Our trusted cloud providers, which we may use to store your personal data, include Mailchimp and apps associated Google and Microsoft. We only use third-party service providers that are GDPR compliant. Please note that, although Mailchimp is based in the United States of America, it applies specific privacy standards to its users in the UK and EEA, in accordance with UK and EEA law.
Opportunity Green uses reasonable administrative, technical, personnel and physical measures to safeguard personal information in its possession against loss, theft and unauthorised use or modification. While we strive to protect your personal information, you will understand that we cannot guarantee the security of any information transmitted to us over the internet. Therefore, please do not submit personal information to us online unless you accept the security risks of doing so.
To delete your data, we will remove the relevant file(s) from our servers.
Transferring your information
Opportunity Green will not use, share, rent or sell your information with/to any third parties except for auditing and cooperation purposes, for example, where we may show event attendee lists to funders or partners for the purpose of verifying that event took place. There may also be times we transfer personal data at the data holder’s request and with their full knowledge. For example, an individual may request to be put in contact with one of our external partners and consent to sharing their email with them.
No data is stored or transferred outside of Europe, except in the case where we use a contracted data processor operating in accordance with the limited permissions for transfers of personal data to locations outside of the European Economic Area as listed in the United Kingdom’s Data Protection Act 2018. In addition, as some of our funders and partners are incorporated in the US, in order to perform obligations in relation to our grants or contracts, for example evidence of relevant work activities, we may share some data with US-based organisations. However, we will only share personal data with these organisations when necessary for our activities, and always require that these organisations demonstrate compliance with the relevant EEA and UK privacy standards.
